Building a Successful Employee Wellness Program: A Planning Checklist

Launching a workplace wellness program takes more than good intentions, it requires careful planning across strategy, compliance, and ongoing management. This checklist breaks the process into three phases:

1. Deciding whether to sponsor a program
Start by identifying your goals (lower healthcare costs, better safety, higher morale, etc.), gathering input through employee surveys or health risk assessments, and looping in stakeholders, possibly through a dedicated wellness committee. From there, set a budget and choose a program type (weight management, tobacco cessation, health screenings, and so on), and classify it as participatory or health-contingent.

2. Navigating compliance
This is where the checklist gets detailed and for good reason. Employers need to consider incentive limits (generally capped at 30% of coverage cost, or 50% for tobacco programs), reasonable alternative standards, and requirements under the ADA, GINA, ACA, and HIPAA. Data privacy also matters: any medical or biometric information collected must be stored separately from personnel files, and vendors handling health data may need a Business Associate Agreement.

3. Maintaining the program long-term
Once live, success depends on consistent communication, regular feedback (including midyear surveys), and tracking metrics like participation and incentive redemption. Employers should also revisit compliance annually and review the program before each renewal to catch changes in law or shifts in employee needs.
